How to Create a WhatsApp Form in KWIC ?

Creating a WhatsApp form using the KWIC platform is a straightforward process that involves a few structured steps — from designing the conversation flow to integrating it with your WhatsApp Business account and submitting it for approval. Here’s a step-by-step guide to help you set it up efficiently.

Step 1: Design the Flow for the WhatsApp Form

The first step is to create a flow that will serve as your WhatsApp form. To do this, visit the Meta Playground. This tool allows you to design interactive flows that can capture key user information such as Name, Email, Company Name, and Category selection. You can preview the form on the right side as you customize it according to your business requirements.

Step 2: Open Meta Playground and Build the Flow

Once you are in Meta Playground, start by creating a new flow. Define the input fields or questions you want your users to answer—these could be simple text inputs or multiple-choice categories. As you build the flow, you’ll be able to preview how it will look and function on the right-hand side of the screen.

Step 3: Copy the Flow JSON

After completing your flow design in Meta Playground, copy the Flow JSON. This JSON code contains the structure and logic of your flow, which you will use in the next steps.

Step 4: Access WhatsApp Manager via Facebook

Next, log in to your Facebook account and navigate to WhatsApp Manager. From the dashboard, go to your WhatsApp account and choose the Flow section from the left-hand menu. Click on “Create Flow,” give it a name and category, and then paste the copied Flow JSON into the edit section on the right. After saving, run and publish the flow. Once done, refresh the page and copy the Flow ID. This links your designed flow to your WhatsApp Business account.

Step 5: Log into the KWIC Application

Now return to the KWIC dashboard and log in with your credentials. Navigate to the WhatsApp Flow section. On the right-hand side, click the Sync button. Your previously created flow will appear here. Click the Edit option, paste the same Flow JSON into the code section, and click Update to finalize the integration.

Step 6: Create a Template in KWIC

The next step is to create a template within KWIC that will trigger the flow. If you are unsure how to create a template, refer to the KWIC guide titled “How to Create a Template and Submit for Approval in KWIC.”

Step 7: Choose a Flow Button

While setting up your template, choose the Flow Button option. This is essential because it allows the flow to be triggered when a user clicks the button within the WhatsApp message.

Step 8: Paste the Flow ID

You’ll now need to paste the Flow ID that you copied earlier. Navigate to the relevant section in the template where the flow button is configured and paste the Flow ID (example: "RECOMMEND") in the designated field.

Step 9: Submit the Template for Approval

After filling in all required fields, submit the template for WhatsApp’s approval. The approval process usually takes a short amount of time, but it may vary depending on Meta’s review policies.

Step 10: Start Using the WhatsApp Form

Once the template is approved, your WhatsApp form is ready to use. You can now incorporate it into your customer engagement campaigns, allowing users to fill out details directly via WhatsApp in a conversational format.
